About the Role

The Anchorage Christian Camp is seeking a full time Office Manager. Hours with flexibility but generally occurring between 9-5 Monday – Friday. Adjusted schedules may be coordinated with the Program Director.

As a Gospel-oriented ministry, The Anchorage Camp requires that all personnel have a real and meaningful relationship with Jesus Christ and be willing and able to perform their duties with an attitude of Christian humility, and a spirit of grace. The Anchorage Camp exists to love, accept and introduce children and their families to Jesus Christ and equip them to live lives that glorify God. Therefore, all employees in every department must be invested in that endeavor, and have personalities, backgrounds and temperaments that allow them to flourish in that environment. The Office Manager is responsible to manage the varied office duties related to camp’s operations. This includes tasks in clerical, database management, communication, financial management and recordkeeping, administrative assistant, office equipment and
supplies.
● This is a full-time exempt position.

Job Description

  • This position is as much Christian ministry as it is a job, and only those who can function in that context should apply


  • The accurate posting and maintaining of camp financial records and banking

  • Running payroll and other financial obligations of camp in a process that meets all legal and ethical standards


  • Running frequent reports of financial summary for the Executive Director and Board to assist in their fiduciary responsibility


  • Ensure that contributions and donations are tracked, recorded, and followed up with a system of receipt and gratitude


  • Review bank statements and monitor cash flow on a weekly basis


  • Prepare for audits and provide all necessary tax documentation for the creation of the 990 by a CPA


  • Receive mail and appropriate processing of all mail


  • Provide a degree of HR coordination necessitated and the maintenance of HR records such as personnel file docs, leave and vacation forms etc…


  • Work with the Camp Director to establish a sound budgeting procedure, regular budget reports and constant budget tracking for year-over-year comparison and reporting purposes


  • Answer phones and emails for customer queries and respond to numerous requests for information and the registration, refunding, discounting, and enhancing of camp pricing, which goes along with the operation of the camp. Serving as a key ambassador for camp in customer relations


  • Communicate effectively and courteously with others, including campers, counselors, donors, parents and staff


  • To be proficient in the camp registration and donor CRM modules


  • Manage camp registration and check-ins and collect all camper/church forms and funds


  • Stay abreast of current pricing models in the camps, retreats, conferences and special programs


  • Manage the scholarship system and camp discount program


  • Attend weekly staff meetings to stay well connected with the overall ministry of camp


  • To attend all necessary training and enhancements and stay current on any necessary certifications


  • To assist in the performance of background and credit checks for BOD members, full-time personnel, receptionists, volunteers and part-time facility staff


  • Periodically negotiate vendor contracts


  • Prepare sales tax refunds and annual contribution statements and assist CPA with any other financial documents required like 1099’s and 990


  • Manage and reconcile Petty Cash


  • Develop key program analytics in conjunction with the Camp and Program Directors for forecasting and sustained profitability


  • Backup for other camp position as needed (illness, vacation)


  • Prepare mass mailings as needed by Camp and Program Directors


  • Organize and assign Cottage reservations and manage keys


  • Prepare and print materials, event schedules, promotional materials and presentations for all camp events

  • Order program, office, kitchen, cleaning/hospitality and maintenance supplies


  • Additional administrative functions as needed


  • Supervise and manage office volunteers

Requirements

- A strong and growing believer in Jesus Christ who is able to agree with and support the Anchorage Camp Statement of Faith and will accept and share in our primary mission
- Training and/or experience in business and financial management
- Data management and understanding of Microsoft Suite
- The ability to utilize QuickBooks desktop/online or compatible financial accounting software
- Knowledge of or aptitude for CampWise or similar CMS
- Non-Profit business experience is a plus
- Human Resource acumen is an advantage
- Ability to coordinate administrative tasks in an organized, efficient and detailed manner
- Ability to multitask
- Valid driver’s license with clean driving record
- Strong time management skills
- Accuracy in detail
- Friendly countenance with ability to effectively communicate both orally and in writing
- Ability to communicate effectively, creatively, and enthusiastically with a variety of ages, both children and adults
- Attitude of flexible, dependable service, consistent work ethic and a commitment to camp and its ministry goals
- Willing to do minor, necessary and sometimes dirty work details
- Manual dexterity to utilize computer and other office equipment
- Ability to lift bulk supplies not to exceed 40 lbs
